Confirming your event
Allow at least 14 days’ notice; shorter-notice requests are considered individually. A signed agreement and required 50% deposit confirm your date. Review pricing and payment and cancellation terms before paying.
What will the total price include?
The quoted flat event fee for private events includes applicable sales tax. A 23% service charge and a separate 20% automatic gratuity are added. The service charge is not gratuity. Private-event payments accept credit card, debit card or ACH. Checks and wire transfers are not accepted. Credit-card payments carry a 3% processing fee; debit-card and ACH payments do not carry that credit-card fee. Request an itemized quote for your event and approved add-ons.
Entertainment and production charges
Venue-arranged entertainment and production carry a 20% vendor markup incorporated into the quoted flat event fee. If you directly hire approved outside live entertainment, a flat $150 outside-entertainment fee applies. Directly hired approved production vendors carry a 20% coordination/venue fee on their full contracted amount. Your quote includes the applicable service charges and identifies the full event cost.
When are payment and headcount due?
A 50% deposit is required for all private events, regardless of booking lead time. The deposit is calculated on the quoted flat event fee plus the 23% service fee and 20% gratuity. A signed agreement and the deposit confirm the booking. For bookings made seven days or less before the event, the deposit and remaining balance are due together at booking. The remaining balance and final guest count are due seven days before the event, except open-bar charges, which are settled at the completion of the event, and approved additional barback, server, busser and event-support staffing charges, which are added to the final event bill. Day-of additions are paid when approved. A later decrease in guest count does not reduce the price; additional guests are charged.
Setup, teardown and event timing
Private events are typically booked in three-hour blocks. Your booking agreement confirms the final start and end times.
A two-hour pre-event setup window is available if needed for private events in the Main Bar, Hat Bar, Oasis Beer Garden or Entire Venue. Confirm setup timing with Honky Tonk Hideaway; guests enter at the event start. Setup does not reduce your rented event time. Vendors have one hour after the event for teardown unless staff approve another timeframe. Game-day table setup is confirmed separately. A late start does not extend the ending time. Full-hour extensions are priced case by case and must be approved and paid before they begin; half-hour extensions are unavailable. Additional staffing, security, entertainment and production charges are separate. Last call is 15 minutes before the contracted ending. The 30-minute departure grace period includes no bar service, music or entertainment.
Decorations, cake and outside vendors
Decorations require approval. Glitter, confetti poppers, offensive signs and smoke machines are prohibited. Outside entertainment, rental items, photographers, backdrops, lighting and equipment need prior approval; furniture movement must be performed or supervised by venue staff.
Outside cakes and desserts require prior approval, including delivery and storage. Approved desserts include plates, napkins, utensils and serving tools with a $15 cake-cutting/utensils fee. Remove leftovers when the event ends. Honky Tonk Hideaway coordinates all other catering; guests cannot independently hire caterers. Food ordered by Honky Tonk Hideaway through an approved outside vendor carries a 15% markup.
Guest list and event-day contact
The customer or a designated representative must remain on-site throughout the event. Provide that person’s full name and mobile number in writing; they can approve event-day decisions and additional charges. Venue-managed check-in is included when requested in advance, with the dedicated final guest list emailed on the event day. The submitted list is final and cannot be changed. Every attendee, including minors, must present identification matching the list; unlisted guests cannot enter.
Guests under 21 may visit before 6 p.m. Anyone under 18 must be accompanied by a guardian. No one under 21 may be in the bar after 6 p.m. After 6 p.m., guests must show valid government-issued photo ID.
Cancellation and rescheduling
With 30 or more days’ notice, the deposit may transfer to an available date within 12 months. With 15–29 days’ notice, the deposit is nonrefundable but may apply to a rescheduled date, subject to availability. With 14 days or fewer, all deposits and payments are nonrefundable. At seven days or fewer, guaranteed headcount and committed food, entertainment, transportation, specialty orders and rentals are final and may be charged in full. Third-party services may have separate terms. Ask for the complete terms before signing. Entertainment, sound-technician and lighting-technician charges canceled at least 30 days ahead are refundable only if the contracted provider agrees to refund Honky Tonk Hideaway; the related 20% markup is refunded with an approved provider refund. Fewer than 30 days ahead, those charges are nonrefundable.
If Honky Tonk Hideaway cannot host your event
If the venue cancels or cannot safely or legally host because of severe weather or circumstances beyond its reasonable control, choose a refund of amounts paid less food or beverages already prepurchased, or an available date within 12 months. Rescheduling credit is nontransferable and is forfeited if the customer cancels the rescheduled event. A higher revised price is charged; a lower revised price is refunded.
Outside entertainment and vendor agreements
Outside entertainers need approval and a signed venue-rules/vendor agreement. If entertainment is lost because the vendor agreement was not returned, the missing-agreement remedy is separate from ordinary cancellation: Honky Tonk Hideaway first offers a nontransferable 365-day credit for the full entertainment charge and related 20% markup or coordination fee. If declined, a refund is provided. Unused credit expires without refund. Confirm equipment, load-in and soundcheck in advance.
Accessibility and weather planning
Email accommodation requests at least seven days before the event when possible. Later requests may still be considered. An outdoor event may move indoors if weather requires and space and capacity allow; any resulting price adjustment is decided individually.
Smoking at private events
Smoking and vaping are prohibited anywhere on the Honky Tonk Hideaway premises, including indoor areas, the beer garden and all outdoor areas. This policy applies to public visits and private events.

REVIEW: Grant must confirm whether separately billed staffing, security, entertainment and production charges are excluded from the 23% service charge or 20% gratuity, and cancellation treatment for additional staff already booked. The draft does not calculate a universal total or promise terms for these unresolved items.
