How much notice should you give?
Start with at least 14 days of notice for a private event at Honky Tonk Hideaway, and allow more time when possible. Shorter-notice requests are considered individually. A request does not hold a date or confirm availability. Venue details: booking notice and confirmation.
Send the preferred date, guest count, and event purpose together. Include a second-choice date if your schedule allows one. Ask the team to confirm the actual space and event period before sending final invitations.
Which space will fit the event?
Ask for the usable capacity of the specific event layout. Honky Tonk Hideaway’s interior maximum is 228, including the Hat Bar area, while outdoor capacity is 150. The venue does not advertise 378 as its normal combined event capacity. Venue details: venue capacities.
Indoor tables, the bar area, and beer-garden tables may be reserved without a full buyout. Use the private-event page to discuss how the space relates to the guest count. Ask whether the planned food service, entertainment, and furniture layout change the usable area.
What payment milestones should you record?
A 50% deposit is required for all private events, regardless of booking lead time. The deposit is calculated on the quoted flat event fee plus the 23% service fee and 20% gratuity. A signed agreement and the deposit confirm the booking. For bookings made seven days or less before the event, the deposit and remaining balance are due together at booking. The remaining balance and final guest count are due seven days before the event, except open-bar charges, which are settled at the completion of the event, and approved additional barback, server, busser and event-support staffing charges, which are added to the final event bill. Day-of additions are paid when approved. A later decrease in guest count does not reduce the price; additional guests are charged. Confirm exact dates and review the event pricing and payment summary.
What belongs in the total quote?
The quoted flat event fee for private events includes applicable sales tax. A 23% service charge and a separate 20% automatic gratuity are added. The service charge is not gratuity. Private-event payments accept credit card, debit card or ACH. Checks and wire transfers are not accepted. Credit-card payments carry a 3% processing fee; debit-card and ACH payments do not carry that credit-card fee. Request an itemized quote for your event and approved add-ons. Separately billed charges need an itemized explanation. Review the event quote details and mechanical-bull add-on before signing.
How should you choose the food format?
Choose among Honky Tonk Hideaway’s in-house buffets, passed appetizers, food stations, and customized menus. Plated seated meals are not currently offered. Customers cannot independently hire outside caterers. Venue details: catering formats.
Discuss dietary requests with the catering team before finalizing the menu. An outside cake or dessert needs prior approval and coordinated delivery or storage. Tell the team when food should be available relative to speeches, entertainment, or other activities. Venue details: dessert arrangements.
What should you arrange before event day?
Confirm the approved vendor setup window, guest arrival, entertainment agreements, equipment, weather plan and teardown. Standard setup for approved vendors is two hours before the event; teardown is one hour after unless staff approve otherwise. A late start does not extend the contracted end. Read event-day timing and cancellation terms.
What should you send in the first inquiry?
Send the occasion, preferred date, estimated attendance, food and beverage needs, and any equipment or accessibility requests. Honky Tonk Hideaway can then assess the group’s requirements through its private-event inquiry. Venue details: venue inquiry contact.
Use contact and directions to plan arrival. Request the complete agreement and cancellation terms before paying. The guide helps organize questions; the confirmed agreement establishes the event arrangement.
Frequently asked questions
Does an inquiry confirm a date?
No. The venue requires the signed agreement and required 50% deposit before confirming the date.
Can the group reduce its price after the final headcount deadline?
A decrease after the deadline does not reduce the event price. Review the headcount terms before the seven-day deadline.
